When searching for folders or locations to save files in Mail Manager Enterprise, the search functionality is governed by SharePoint's search system, which processes folder names in a specific way that can affect your search results.
Understanding how SharePoint processes folder names
SharePoint search does not read folder names as single words. Before saving a name to its index, SharePoint splits the name into smaller pieces at every dot, dash, underscore, or other punctuation mark. When you search, SharePoint applies the same splitting process to your search text and looks for those individual pieces.
This means SharePoint never stores a folder name like 01.0000.01 as a complete unit. Instead, it stores the separate pieces: 01, 0000, and 01. Folder names that share these pieces appear nearly identical to the search system, making it difficult to distinguish between them.
Viewing how folder names are indexed
The following example demonstrates how SharePoint breaks down project folder names:
| Folder name | What search actually stores |
|---|---|
| 01.0000.01 | 01 · 0000 · 01 |
| 01.0000.02 | 01 · 0000 · 02 |
| 01.0000.03 | 01 · 0000 · 03 |
| 02.0000.01 | 02 · 0000 · 01 |
| 02.0000.02 | 02 · 0000 · 02 |
| 02.0000.03 | 02 · 0000 · 03 |
A search for 01.0000.01 becomes a search for folders containing both 01 and 0000. Because almost every folder contains those pieces, you receive the entire list of folders instead of the specific one you wanted.
Improving search accuracy with quotation marks
To improve your search results and find specific folders:
- Enter your folder name enclosed in quotation marks (for example,
"01.0000.01").
This technique works in most cases and helps SharePoint treat your search term as a complete phrase rather than separate pieces.
