Understanding your Ideagen Mail Manager Enterprise licences and reassigning seats

Ideagen Mail Manager Enterprise uses a Microsoft 365-based licensing model where licences are tied to your tenant and automatically assigned when users sign in.
Understanding how licensing works
Ideagen Mail Manager Enterprise uses a modern, Microsoft 365-based licensing model with the following key characteristics:
- Licences are linked to your Microsoft 365 tenant and associated domains, not to individual devices. Any tenant user can be licensed.
- A licence is tied to the Microsoft 365 account used to sign in (Settings > Microsoft 365 in the Desktop app, or the Mail app account). Users keep their licence when switching devices by simply signing in again.
- Auto-deployment is enabled for most customers, automatically assigning a seat to licensed users when they first sign in, up to your purchased seat limit.
Checking which account is licensed
To verify the licensed account:
- Open Outlook and select the Ideagen Mail Manager tab (Desktop) or open the Mail app.
- Go to Settings then Microsoft 365 (Desktop) and verify the signed-in account is the correct work account.
- If incorrect, sign out and sign in with the correct Microsoft 365 account.
Freeing up or reassigning a seat
Licenses or seats are usually assigned automatically to anyone using the software within your domain (based on your email address).
To reassign a seat:
- Seats inactive for 90 days are automatically deactivated and freed up for new users.
- To reassign a seat immediately, contact your Customer Success Manager or support to delete the old seat. See below for contact details.
Contacting your Customer Success Manager or support
Contact your Customer Success Manager or support if:
- You’ve reached your seat limit and need a licence removed from an account
- You’re adding a new domain or tenant to licence users
- Users in a second tenant require licences (multiple tenants can share one subscription)
