Mail Manager Enterprise uses managed properties to enhance the accuracy and relevance of filing suggestions by enabling precise searches of indexed email metadata in SharePoint.
Understanding how managed properties work
Managed properties operate entirely behind the scenes and are not visible to end users directly. They allow the application to search SharePoint more precisely using indexed email metadata, such as the sender's address, rather than scanning through document content as free text.
From an end user's perspective, they simply see more accurate and relevant filing suggestions appearing in the Suggestions node. The managed property powers that accuracy at the backend.
Viewing managed properties as an end user
The closest thing an end user would see as a result of managed properties are the email columns in a SharePoint document library, such as Email From, Email To, and Email Subject. These columns are populated when an email is filed and are mapped to managed properties by a SharePoint administrator, making them searchable by the Suggested Locations feature.
Configuring managed properties as an administrator
In the context of the Suggested Locations feature, administrators have the option to input managed properties to enhance accuracy in the admin client, provided they have mapped them in their SharePoint search schema. Only administrators can configure these properties, not general end users.
