Working with your email search results in the App
Who is this article for?
Users who want to learn to manage email search results in the web app.
No elevated permissions are required.
The email search results table provides detailed information about each email record and offers multiple ways to sort, preview, and download your results.
1. Sorting results
The search results display in a table with several columns, giving you access to detailed information for each email at a glance.
To sort the results, click the column headers for:
- Sent Date
- File Size
Each column presents sorting options to adjust how the results display.
2. Previewing results
The preview panel displays detailed information for any email record in the results table. You can open the email in SharePoint or download a copy directly from the panel.
To preview a result, follow these steps:
- Click the row in the results table.
The preview panel opens on the right side of the dashboard.
The panel displays the following details:
- From - Sender's name and email address
- Sent on - Date and time when the email was sent
- To - Recipient's name and email address
- CC (if available) - Recipient's name and email address
- Subject - Subject of the email
- Attachments (if available) - Attached files
- EML preview - Rendered contents of the .eml file
3. Opening emails
3.1. Opening an email in SharePoint
- To open a saved email directly in SharePoint, click the option icon in the top right corner of the preview screen and select Open in SharePoint.
- This will navigate you to the email's saved location within SharePoint.
3.2. Opening an email in app
- To open a filed email directly in its native application, click the options icon in the top right corner of the preview screen and select Open in app.
- The email will open in outlook.
To download the email, follow these steps:
- Click the Download button.
- An .eml file will download directly to your device.
3. Downloading results
The download option exports selected rows from the results table into a CSV file, ensuring only the records you choose are downloaded.
To download results, follow these steps:
- Tick all relevant records.
- Open the Ellipsis menu in the top-right.
- Select Download results(.csv).
Note: If you filter results by location and uncheck a location that has selected items, those previously selected checkboxes remain checked. If no rows are selected, the download option is greyed out.
